When does a delivery need specialist planning?
When ordinary network handling carries too much risk, because of the deadline, the value, the fragility, the confidentiality, the size, the destination, the regulation or simply what happens if it fails.
Think of a component travelling to prevent downtime, a document that needs a named handover, a delicate prototype that shouldn't go near automated sorting, an exhibition kit with a fixed access slot. "Urgent" on its own doesn't tell a controller anything. If you describe something only as "medical", we still need to know whether it's a device, a document, a medicine or a sample.
What we handle
Rapid Despatch arranges an on-board courier: a courier personally accompanies a small urgent consignment on a scheduled flight, collects the item, travels with it and completes or coordinates the handover. It's built for exceptional deadlines where delay costs serious money: critical components, medical equipment, sensitive documents. Feasibility comes down to flights, visas, security screening, entry requirements and contents.
A dedicated road vehicle collects and follows your plan without putting the goods into a shared parcel network. On UK same-day work that cuts the transfers and gives you one chain of responsibility; a dedicated European vehicle isn’t automatically quicker than air, but it’s often better for bulky goods or a genuine door-to-door requirement. Sensitive documents want direct transport, minimal handling and delivery to a named person, under the chain-of-custody process below. Tell us whether the envelope stays sealed, whether the recipient must show ID, whether you need a signature, and what happens if the person isn't there. "Leave at reception" and "hand to Mrs Patel only" are contradictory instructions, so decide which one you mean before the driver leaves.
Fewer handling points helps enormously. It doesn’t replace packaging. Protect the item against vibration, braking and normal road movement, and give us the declared value at booking. Goods in transit insurance is provided: on a dedicated UK vehicle up to 3.5 tonnes, cover is up to £25,000 for account holders, and higher cover can usually be arranged on application at an additional charge. The full position is in our conditions of carriage. A sculpture, a precision instrument and a fragile electronic assembly are all “fragile” and all need loading completely differently.
Rapid Despatch carries samples over short distances, medical equipment and healthcare supplies at ambient temperature, under the chain-of-custody process below. Send the product description, packaging, hazard status, value, handover procedure and deadline. We do not run refrigerated or validated cold-chain vehicles. We already carry blood samples for hospitals in Reading, at ambient temperature and over short distances, which is exactly the shape of medical work this service is built for.
Rapid Despatch delivers to exhibition stands and event venues. Events bring fixed deadlines, named halls, contractor entrances and short loading windows. A delivery addressed to the venue and nothing else will not reach your stand. Give us the event, hall, stand number, exhibitor contact, contractor access point, booking slot and the build or breakdown schedule. We can book the return collection at the same time.
Where the issuing organisation permits it, we can discuss secure collection or delivery of passports, visas and supporting documents, including waiting at the office and returning with the documents the same day. These need accurate authorisation, reference numbers, collection windows and identity procedures. We can't override an embassy, consulate or application centre, so confirm third-party collection is permitted and tell us what our courier must present.
Specialist pallet and freight movements
Large or heavy goods may need a dedicated Luton or tail-lift vehicle, or a larger vehicle up to about 18 tonnes available on request.
Vehicle choice follows dimensions, weight, loading, access and how the load is secured. Send the loaded pallet height, footprint, stackability and any centre-of-gravity concerns.
Where there's no forklift, a tail lift and pallet truck can work, on level ground and within the equipment's limits. Check site height, weight and turning restrictions before despatch. An urgent load isn't much use sitting outside a gate the vehicle can't get through.

How chain of custody works on a Rapid Despatch job
Custody stays with one authorised driver from collection through to signature. The Unique Docket Number, not a driver ID, is what the recipient checks.

Tell us at the point of booking that the consignment needs chain of custody, and what that means for these goods: sealed packaging, identification at collection, a named recipient, evidence returned.
The driver is briefed before collection
A driver is selected who can complete the whole route without a handover, and is briefed on the specific handling requirement rather than sent a standard job.
You receive a Unique Docket Number
The docket number is emailed to you when the booking is confirmed. It identifies this consignment and is what the recipient can check against.
Identification and a packaging check at collection
The driver identifies themselves at collection and checks the packaging is intact and suitable before accepting the goods. Specialist deliveries usually fail in the last ten metres, and almost always because access wasn't planned, so confirm contacts, opening times and loading at both ends.
One driver, no transfers
The same authorised driver holds the consignment for the whole journey. It does not enter a hub, change vehicles or pass to another driver.
Signature, time, location and recipient recorded
At handover the signature, the time, the location and the recipient's name are recorded against the docket number, so the record is a chain rather than a single proof-of-delivery scan.

No. Our medical work is ambient. If you need a validated cold chain we will say so and point you elsewhere.

On the route, the vehicle, the deadline, the handling requirement and the access at both ends, and a specialist job usually carries extras a standard one doesn't: waiting time while documents are signed, a return leg, an accompanied service, or flights and a courier's travel on an on-board job. Account customers are quoted against agreed rates. You get a fixed price before you commit, and nothing is added to it afterwards.
